Once you’ve implemented OnBase by Hyland, that isn’t the end of your Content Services story. As the system administrator, you’ve still got to perform a series of regular tasks to maintain OnBase and ensure it’s running optimally. That’s why we’ve created this one-stop document with all the daily, weekly, and monthly maintenance to do’s that should keep everything ticking over nicely. Daily Tasks (or weekly)
- Check verification reports (or build a workflow to do it for you)
- Check the Windows or Hyland event logs for any errors, warnings, and even unexpected information entries (or find a tool to notify you automatically of these occurrences)
- Verify Database and disk groups were backed up to tape.
- Check to confirm that files have the “A” attribute
- Ask your backup team how big the OnBase-related backups are, it should be increasing regularly.
- Ensure Virtual machines application and/or database servers are being backed up. If physical machines are present, make sure you have a backup for these machines in case disaster were to occur so that you maintain business continuity.
- Confirm that you have sufficient free disk space on all servers including the Database server, and always ensure at least 3 or more GB (recommended) is available as it usage could spike at any time, especially on a database server.
- Check all DIP/COLD/Input folders for any files or folders and ensure these are empty.
- Verify all Database maintenance plans are still operating with the time window expectations.
- Check Database and disk group sizes and forecast when additional storage might be needed.
- Analyze recent disk group volumes to ensure all files are present and compare byte-wise to 2nd and 3rd copies (if utilized). Also, ensure all files are valid (Scheduling Platter Management).
